Practical questions for toner, paper, printers, scanners, and copiers. Use this guide to prepare a request—not as a substitute for the exact device manual.

01 / PRINT SUPPLIES

Identify the device.
Then identify the supply.

Start your request with the complete manufacturer and model, the cartridge or part code, and the required color. Note any region, firmware, or supply-system restrictions stated by the manufacturer.

Toner and drum are not interchangeable terms.

Brother’s explanation distinguishes the powder-containing toner cartridge from the drum unit used to create the printed image. Some systems use separate components; check your model’s manual.

Manufacturer page-yield figures are comparisons under defined test conditions, not a guarantee for every user. Actual results vary with printed content and usage. Confirm the declared yield for the exact cartridge before estimating costs.

Ask in your request

“My device is [manufacturer/model]. I need [part code/color/quantity]. Please confirm compatibility, cartridge type, declared yield, and any restrictions.”

02 / PAPER

A blank page still
has specifications.

Match the paper’s size, weight, coating, and intended print technology to the device and its supported media. Heavier stock and specialty media may have different tray or duplex restrictions. Check the actual printer manual before ordering.

Size & quantity

State the sheet size and total required sheets. Specify reams per case and sheets per ream rather than assuming a pack size.

Weight & finish

Include gsm, or the paper grade when using a pound weight. Describe the finish and whether your job needs two-sided output.

03 / PRINTERS & COPIERS

Plan for an ordinary month,
not a headline maximum.

For regular workloads, compare the manufacturer’s recommended monthly page volume. A maximum duty cycle is a different measure and should not be treated as the routine monthly target.

List color needs, automatic two-sided printing, scanning and copying features, supported paper sizes, connectivity, operating-system compatibility, and ongoing supply requirements. Check which functions and accessories are actually included.

Ask what happens after purchase.

Get warranty, delivery, setup, consumable costs, and any service or subscription terms in writing. Installation, maintenance, leasing, or particular manufacturer relationships are not implied by a category listing.

04 / SCANNERS

Choose for the documents
you actually handle.

Compare automatic document feeder capacity, duplex scanning, supported originals, connections, and software or driver compatibility. Check whether speed is stated as pages per minute or images per minute.

Resolution should match the job rather than simply being set to the largest number. Epson’s ADF guidance lists different example settings by task, including 300 dpi for OCR; the appropriate setting still depends on your original and software.

Flag fragile, irregular, bound, or thick originals and ask about a suitable scanning method. For searchable text, verify OCR availability, language support, and output format.

Formula: cartridge price ÷ declared yield. Monthly estimate: result × monthly pages. Excludes paper, drums, maintenance, hardware, power, shipping, taxes, color supplies, and subscription fees. Actual yield may differ.
